Student Volunteer Job Duty Descriptions (Vis 2003, Seattle, WA)

Rooms and some tasks need to be updated

Introduction:

Every student volunteer will get a T-shirt. Try to wear it over 
your other clothes when you are on duty so that people can easily
identify you.  

PLEASE do not leave your post until the next shift (if applicable)
arrives.  It is important to arrive to your post promptly to relieve
earlier shift.  

There will be a special party for student volunteers on Thursday 
evening at 6:00pm.  Please confirm if you can attend! (sign-up sheets will
be available in both of the volunteer rooms) 

Registration and Merchandise desk:

Go to the registration desk and report to Kristine Weiand, who is 
the registration coordinator. Registration envelopes are arranged
in alphabetical order in boxes. Envelopes include badge, tickets, 
and receipt. Go over the envelope contents with each registrant
to make sure that everything is as it should be and that there are 
no misunderstandings. 

Merchandise exchange will be set up at the coat room next to Stanbro.

Registrants will need to exchange one ticket for: 
Info Vis proceedings, Vol Vis proceedings, posters compendium.

They will need to exchange another ticket for the Conference 
Proceedings, DVD. 

Current members of TCVG (Technical Committee on Visualization and Graphics) 
and anyone who registers for the TCVG get a T-shirt.  (We need to have those
who wish to register for the TCVG fill out TCVG forms and check off names.)

Email Room: (White Hill -- 3rd floor)

The email room is located in White Hill room (3rd floor). 
Your main duty here is to serve as security for the equipment and 
to help people as needed. 

Please do NOT use a computer while you are on duty and if there are
people waiting to use one.  To accommodate more people, we will have
tickets indicating time to leave for each person entering the room.

For busy time, please let each person use a machine for 10 minutes.
Otherwise, 15 - 20 minutes.  (For a person entering at 10:00, give
him/her a card that has ":10" when busy)  Make sure to collect the
card back when people leave.

For busy time, please go around the computers and let people know
that they should wrap up and leave for other people.

Speaker Prep Room: (Fairfield room -- mezzantine level)

Your main duty here is to serve as security for the equipment and 
to help people as needed. The speaker prep room is located in
Fairfield room (next to the conference office, Hancock room)

Setup/ Teardown:

Wear your student volunteer T-shirt so that people who need your 
help can easily identify you. Make yourself available in the
conference room (Hancock), and ask around about what you can do to help.

Interactive Demonstrations Lab (Whittier -- 3rd floor)

Check access, provide security, help out with demos (computer help).

Exhibit (2 SVs)

For setup, report to Matt Ward in the exhibition room (Stanbro)
Check access, tell people to get their free exhibit badge at the 
registration desk, provide security.

Reception/Poster

o Help setup posters onto isles.
o Check badges and hand out drink tickets.
o Operative A/V if needed

Floater (Stand-by):

This is the "on-call" position. You will need to fill in wherever 
the need is greatest, which will vary. Please try to wear your
student volunteer T-shirt when you work this shift so that people 
who need your help can easily identify you. 

Please report to the the conference office and stay there until your shift 
is over (-- please don't leave until your replacement arrives).

Duties may include:
1. Hangs out at the conference office, 
2. takes phone messages, and operates the walkie talkie 
   (take calls and page a committee member if necessary by walkie-talkie).
3. convert tutorials/workshops paper evaluation forms to e-files (spreadsheets)
   (Sunday, Monday, Tuesday)

This SV is also a runner for anything that comes up w.r.t conference management.

ALL sessions (tutorial/workshop/paper/panel/applications/etc.)

The first SV who is scheduled for these sessions should bring the
sign of each session room and display it (15 minutes prior to the beginning
of the session).  

Tutorials:

There are many responsibilities attached to this position. 
Besides checking badges, you need to:

o pass out the tutorial evaluation sheets midway through the 
  course as attendees enter the room

	-  for a full day course, after the lunch break
	-  for a morning course, after the morning break
	-  for an afternoon course, after the afternoon break

o collect the tutorial evaluation sheets as attendees leave the room

o count the number of people in the room four times/day: 
  9am, 11 am, 2pm and 4pm.

o raise and lower the lights as appropriate (check with AV for instructions)

o operate the AV equipment if necessary

Symposia and Conference Sessions:

There are many responsibilities attached to this position.

   - for symposia, as attendees enter after the lunch break on Tuesday

   - for the conference, as attendees enter each session room 
	 after the lunch break on Thursday

o collect the evaluation sheets as attendees leave the room

o count the number of people in the room four times/day: 
  9am, 11 am, 2pm and 4pm.

o raise or lower the lights as appropriate 
  (check with AV for instructions)

o operate the AV equipment if necessary
